AI Is Correcting a Prior Miscalculation

With FileStar, our metadata-driven document management platform, we have long prioritized trusted search results over ease of upload. The reasoning was straightforward: users need fast access to complete, accurate, and final versions of documents. Search quality matters more than convenience. The fact that tagging documents with good meta data at upload took time was acceptable.


That premise is still true, but our original value calculation missed a critical variable.


What Users Expect From a DMS

Users searching within a company’s document management system (DMS) want three things:

  1. Speed – results returned quickly

  2. Completeness – all relevant documents included

  3. Trust – confidence that the final, approved version is clear


Modern AI tools and internal chatbots raise the stakes even further. AI is only as good as the documents it can access, which means incomplete or outdated repositories produce unreliable answers.


These requirements describe a specific type of DMS: a System of Record. A system of record stores final, approved documents and ensures consistency over time. While drafts may exist, these systems are not designed for day-to-day collaboration or working copies. Other DMS models, collaboration tools, hybrid systems, or “document management light” (file attachments in ERP or CRM systems), serve different purposes and can become very cluttered.


Our definitions were correct. Our search value calculation was correct.


What we missed was the rainmaker factor.


The Rainmaker Reality

Rainmakers are the people who directly generate revenue: sales teams, investment managers, acquisitions groups, and similar roles. Their work is:

  • Less structured

  • Highly individualized

  • Fast-paced and time-sensitive


For these users, every extra step matters. Classifying documents during upload, even when it improves long-term search quality, takes time away from revenue-generating activity. And it does take extra time.


As a result, rainmakers gravitate toward flexible, folder-based systems: drag, drop, create a folder, move on. This explains why so many enterprise DMS environments devolve into endless folders and subfolders. Flexibility wins when speed is everything.

That flexibility requirement wasn’t fully accounted for in our original equation.


Why the Equation Is Changing

AI-based auto-classification is shifting the balance.


As AI gains acceptance and accuracy, documents can now be automatically tagged with the correct metadata, without slowing down the people creating or uploading them. This removes the primary friction point for rainmakers while preserving the long-term value of trusted search.


Suddenly, organizations no longer have to choose between speed and structure.


The Advantage of Metadata-Driven Systems
